Showroom visits: Do the linens match my bridesmaids’ dresses?
Putting a look together for a wedding can feel like an overwhelming process. You may be great at coordinating your clothing and jewelry each day, but how often have you had to create a look for an event of 50-300 guests? Probably never!
You thumb through slick wedding sites on IG and Pinterest and everything looks so professional, so put together! And you wonder, ‘Can I pull that off? How am I ever going to pull that off?’. The pressure is real and scary.
Some wedding couples arrive for their scheduled Party Rental showroom visit already knowing the colors for their wedding. But many have not given it a thought! A couple may have 5000 pictures of their favorite weddings on their Pinterest page, and they may arrive for a showroom visit with samples of silk flowers, candle holders and samples of the bridesmaids dress fabrics. Their wedding binder may be brimming with notes. Or they may arrive for their visit with only a concept – that they want a fun wedding that is dressy but not stiff and fussy. And that is okay. Take the pressure off – you can put together your look with the help of your team. You do not have to arrive at the showroom having your entire wedding look coordinated ahead of time. Most likely you have hired a team of professionals who are happy to assist you in making your wedding everything you have dreamt of ( even if the colors or specific choices were not part of that dream).
Your team might include the Rental Coordinator, who has most likely done thousands of showroom visits, your florist, and your event planner plus your caterer. Or it may be a smaller team – you, the groom, a best friend or parent- the home team! Your binder can be empty and your Pinterest page barren. You will arrive at a look that is perfect for you!
Putting together a look and choosing colors does not mean that the bridesmaid’s dresses have to match the linens for the guest tables. In fact, they rarely do! Often the colors for a wedding come from the invitation since often that is designed quite early in the wedding planning process. Bring an invitation to your showroom visit! That will help guide you in your china, flatware, glassware, and linen choices. Have cued up on your phone some photos of the venue where your wedding will be held, just in case the party rental store does not have photos of the venue on hand to look at. Most couples find it very helpful to visit their venue – indoor or outdoor –right before their showroom visit or right after. It helps couples to refresh themselves on the look and functionality of their space. Sometimes the florist attends the showroom visit and brings samples of the flowers and vases, as well as candle holders. Some brides bring in silk flowers that mimic the flowers they will place on the tables at their wedding. Bringing props and photos is very helpful.
The Rental Coordinator will expertly help you set the table until you reach the look that best suits your wedding. Linen samples will be spread across a table and set with various lines of china, flatware, glassware, and napkins. Maybe your first choice was a blue tablecloth with white china and stainless flatware, but once you see it all together you realize that you like a blue linen napkin best and a white tablecloth. That is okay! Items can be switched out until you achieve the look you that you want.
Okay…back to the showroom visit that includes the home team. The home team might include a parent, a best friend, or a sibling. Don’t bring the entire home team to a showroom visit! That looks fun when watching a bride choose a dress on a TV show, but it adds a lot of challenges too. Bring that friend or family member who listens and supports you. Does one of your best friends have impeccable taste? Bring that friend! Often parents want to visit the rental company because they are entrusting a very important day to that company. They want to feel reassured that the company is solid, knowledgeable, and reliable.
If the initial showroom visit takes place 6 or more months prior to your wedding you may want to schedule a second showroom visit. It is good to refresh your memory regarding the items you chose months before. And perhaps a parent or friend who could not attend the first time is able to make the second visit. Rental companies often add new items during the winter months – including new linens, napkins, and china/ flatware choices so going back a second time may expand the choices.
Take photos of the table that you set while in the showroom visit. You may struggle with which china or napkin you like. Once you leave the showroom visit it can be many months until your wedding. Having photos to looks at helps you when meeting with your florist or visiting the venue. Over time you may find that you second guess the choice you made during the showroom visit. Don’t get distracted by the many choices that exist. Ask yourself what your aesthetic is. Do you like color, or clean lines, or the eclectic look? Is your favorite color purple and is that why you chose purple napkins 6 months ago? This is your wedding – your special day! With professional help, you can make it your own and create a look that you, the wedding couple, find beautiful and pleasing. And you are allowed to make changes to your order over time, as your wedding evolves.

Your team has most likely worked together on hundreds of weddings. They have attended trade shows and seminars, learning about products, best methods, and how to offer top-notch service. Your team wants your wedding to be a success. They are personally invested in you having the best wedding possible!
